Job Overview:

The Admin Officer will be responsible for providing administrative support to ensure efficient and effective office operations. This role requires a detail-oriented, organized individual with a strong ability to multitask and work independently. The Admin Officer will handle a variety of administrative tasks, from managing communication systems to organizing meetings and maintaining office supplies.

Key Responsibilities:

Administrative Support:
Provide general administrative support to senior management and other departments as needed, including preparing documents, managing emails, scheduling meetings, and maintaining office systems.
Communication Management:
Serve as the first point of contact for visitors, phone calls, and emails. Manage inquiries and direct them to the appropriate person or department.

Office Organization:
Oversee the management of office supplies, ensuring stock levels are maintained. Manage office files and documents to ensure accuracy and confidentiality. Schedule and organize meetings, including preparing agendas, arranging venues, taking minutes, and ensuring that all necessary materials are available. Perform data entry tasks, maintain records, and manage databases. Ensure that all files and records are up to date and easily accessible. Plan and assist with internal events, team-building activities, and other organisational events as needed. Assist with preparing reports, presentations, and other documents for senior management. Ensure that all office activities comply with relevant laws and regulations. Maintain up-to-date records for audits and legal purposes. Ensure that the office environment adheres to health and safety guidelines and company policies.

Educational Background:
A minimum of a Higher National Diploma (HND) , with a degree in business administration or a related field preferred.
Experience:
Proven experience as an admin officer, office assistant, or in a similar administrative role. Experience in managing office operations is an advantage.Strong ability to prioritize tasks, manage time effectively, and handle multiple responsibilities simultaneously.Excellent written and verbal communication skills. Ability to interact with people at all levels in a professional and courteous manner.Strong working knowledge of MS Office (Word, Excel, PowerPoint, Outlook) and familiarity with office management software. Experience with data entry and record-keeping software is a plus.A keen eye for detail with the ability to ensure accuracy in all tasks and documentation.Ability to address problems quickly and efficiently, offering proactive solutions.High level of integrity and ability to handle sensitive information with discretion
