Position Title: Front Desk Officer
Location: Gbagada, Lagos
Salary: 70,000
Industry: Healthcare
Working hours: morning and night shift
Working days: 5 days a week with 2 days off

Job Summary:

The Front Desk Officer in a healthcare setting is the first point of contact for patients and visitors. This role involves greeting patients, scheduling appointments, managing patient information, and facilitating communication between patients and healthcare providers. The Front Desk Officer ensures that all interactions are handled professionally and efficiently, maintaining a welcoming and organized environment.

Key Responsibilities:

• Patient Reception:
• Greet patients and visitors in a courteous and professional manner.
• Assist patients with check-in and check-out procedures, verifying patient information, insurance details, and ensuring forms are completed correctly.
• Direct patients to appropriate areas for consultation, treatment, or diagnostics.
• Maintain a clean and organized reception area.
• Appointment Scheduling:
• Manage the appointment calendar, scheduling and confirming patient appointments with physicians, specialists, or other healthcare providers.
• Coordinate appointment times with patient preferences and healthcare providers’ availability.
• Notify patients of any schedule changes or delays.
• Patient Records and Documentation:
• Ensure accurate and timely entry of patient information into the healthcare system, including personal details, medical history, and insurance information.
• Maintain confidentiality and adhere to healthcare privacy regulations such as HIPAA.
• Assist with the management of medical records, filing, and retrieving documents as needed.
• Communication and Coordination:
• Answer phone calls and respond to inquiries from patients, healthcare providers, and other external parties.
• Relay messages between patients and healthcare staff, ensuring important information is communicated effectively.
• Respond to patient inquiries regarding billing, insurance, and healthcare services, escalating more complex issues to the appropriate department.
• Billing and Payments:
• Assist patients with the processing of co-pays, payments, and insurance verification.
• Provide information on accepted insurance plans and assist with clarifications regarding billing procedures.
• Issue receipts and maintain accurate payment records.
• Customer Service and Patient Care:
• Provide compassionate and supportive service to patients, especially those in need of emotional reassurance or assistance.
• Address patient concerns and complaints professionally and escalate unresolved issues to management.
• Administrative Support:
• Assist healthcare providers and administrative staff with additional tasks such as scanning documents, managing incoming and outgoing mail, and ordering supplies.
• Track and maintain office inventory, including patient forms and general office supplies.
• Coordinate with other departments (e.g., medical, billing, or pharmacy) to ensure smooth operation and patient flow.
